Set up and manage the waitlist

Let clients wait for a suitable time and notify them when an opening appears.

The waitlist is offered when no suitable appointment is available. Requests record the service, preferred times and matching client so you can act when the diary changes.

In the app Turn the waitlist on in Business, then handle requests from Waitlist.
  1. Open Business, tap Edit and enable Waitlist.

  2. Choose manual matching if you want to review openings, or automatic matching if OneDiary should notify matching clients.

  3. Choose the client and business notification channels, then save.

  4. Open Waitlist to see active requests. Select a request to review its preferred time and current openings.

  5. For manual matching, tap Notify client when a suitable opening is shown. Review notification history before sending again.

In the portal Configure waitlist rules in Business and review requests in Waitlist.
  1. Open Business, enable Waitlist and choose manual or automatic matching.

  2. Set the client and business notification channels, then save the profile.

  3. Open Waitlist and check Action required.

  4. Select a client to review Current openings and previous Notifications.

  5. Select Notify client for a manual match. Closed requests move to Reviewed.

What happens after a notification What changes or appears for the person booking.

A notification tells the client that a matching time is available; it does not promise the slot indefinitely. The client follows the booking flow and the slot remains subject to live availability.
